Meeting agenda template: build it, print it, keep it on time

The short answer

A good meeting agenda states what the meeting should decide, then lists each topic with who leads it and how many minutes it gets. End with action items: who does what by when. Choose a starting point below, change the topics to fit, and the total time adds up as you go. Print it or save the PDF to send out before you meet.

For small teams with no time to waste. Start from a common meeting, keep what you need, and send it out ahead of time.

How it works

Make it short and useful

  1. Write the goal first. If you can’t say what the meeting should decide, it may be an email.
  2. Give each topic a person and a time. Topics without an owner tend to drift.
  3. Put the hard topic first, while people are fresh.
  4. Send it ahead, so people come ready.
  5. End with action items: who, what and by when. Start next time by checking them.

These times are starting points in this tool, not rules, so change them to suit. Keeping a record of who came? Print a sign-in sheet. Turning a repeat topic into a process? Write an SOP.

Common questions

What should a meeting agenda include?
The meeting’s name, date, time and place, what it should decide, each topic with who leads it and for how long, and room for action items.
How do I write a simple meeting agenda?
Write the goal in one line, list three or four topics with a person and a time for each, and leave the last few minutes for who’s doing what by when.
How long should a team meeting be?
As short as it can be while still deciding what it needs to. Add up your topics’ minutes above, and cut any that doesn’t need everyone in the room.
Who should run the meeting?
Whoever needs the decision, or whoever keeps time best. Small teams often take turns, which means the owner isn’t the only one prepared.
What’s the difference between an agenda and minutes?
An agenda is the plan, sent before the meeting. Minutes record what was decided, written afterward. Many small teams just add the action items to the agenda and send it back out.
