Time card calculator: weekly hours, breaks and overtime

The short answer

To calculate a time card, subtract each day’s clock-in time from its clock-out time, take off unpaid breaks, and add up the week. 8:00 AM to 4:30 PM with a 30-minute break is 8 hours; five of those days is 40. Payroll usually wants decimal hours: 7 hours 45 minutes is 7.75. This free calculator does it all and prints a timesheet.

Enter a week of clock-in and clock-out times. See the hours in hours and minutes and in decimals, split out overtime, add pay if you like, and print a timesheet to sign.

How it works

  1. Enter each day’s in and out times and any unpaid break. Leave days off empty.
  2. Set when overtime starts. 40 hours a week is the federal rule; a few states also have a daily rule.
  3. Add hourly pay to see the week’s pay before taxes, then choose “Print or save as PDF”.

A shift that ends after midnight works too: an out time earlier than the in time counts as the next day. To work out a single week’s pay from a total, use the overtime calculator.

Common questions

How do I calculate hours worked on a time card?
Subtract the in time from the out time and take off unpaid breaks. 8:00 AM to 4:30 PM with a 30-minute break is 8 hours. Do that for each day, then add up the week.
How many hours is 9 to 5 with an hour lunch?
7 hours. 9:00 AM to 5:00 PM is 8 hours, minus the unpaid hour.
How many hours is 7:30 to 4:30 with a 30-minute lunch?
8 hours 30 minutes, or 8.5 in decimal hours. 7:30 AM to 4:30 PM is 9 hours, minus the 30-minute lunch.
How do I convert minutes to decimal hours?
Divide the minutes by 60. 20 minutes is 0.33 hours, so 8 hours 20 minutes is 8.33 hours. This calculator shows both forms.
Are lunch breaks paid?
Under federal rules, short rest breaks of about 20 minutes or less count as paid time. A real meal break, usually 30 minutes or more with no work, can be unpaid. Some states have their own rules, so check yours.
How do I handle a shift that goes past midnight?
Enter the times as they happened. If the out time is earlier than the in time, the calculator counts it as the next morning.
Can I print this as a timesheet?
Yes. Choose “Print or save as PDF” for a one-page timesheet with lines for the employee and whoever approves it. Nothing is saved, so print it before you close the page.
Is this time card calculator free?
Yes. No sign-up, no watermark and nothing stored.
