Construction estimate template: labor, materials and allowances

The short answer

A construction estimate breaks a job into labor, materials, subcontractors, permits and allowances, then adds your overhead and profit. Say how long the price is good for and what’s excluded. Fill in the lines below and print it or save the PDF. Once it’s accepted, spell out the details in a contract or scope of work.

Starts with the lines a typical job needs. Add your own, and say what’s excluded before anyone can assume it’s in.

How it works

How to build it

  1. Measure the job, with help from the square footage or concrete calculators.
  2. List materials at your supplier’s current prices.
  3. Estimate labor hours by stage.
  4. Get sub quotes in writing.
  5. Add overhead and profit with the margin calculator.

Estimate, bid or quote?

People use these words loosely. An estimate is usually your best guess, which can change. A quote or bid is usually a firm price. If the price is firm, say so, and say for how long. Your state may have rules on home improvement contracts, so check those too.

Common questions

What should a construction estimate include?
Your business and license number, the job address, labor, materials, subcontractors, permits, allowances, exclusions, how long it’s good for and the total.
What is an allowance?
A set amount for something the customer hasn’t chosen yet, such as fixtures. If they spend more, they pay the difference.
How much profit should I add?
It depends on your market and your overhead. Know your overhead first, then use the margin calculator to see what each markup leaves you.
How do I handle changes after the estimate?
Write up a change order, and get it signed before you start the extra work.
Is this template free?
Yes. No sign-up and no watermark. It runs in your browser, so nothing you type is stored or sent to us. Print it or save it as a PDF before you close the page.
