Contractor invoice template: labor, materials and progress payments

The short answer

A contractor invoice lists the job, your license number, labor, materials, any change orders and deposits already paid, and the balance due with payment terms. Fill in the lines below, and the total updates as you go. Print it or save the PDF. On longer jobs, bill by stage, and refer to the signed estimate or contract.

Starts with the lines most construction and contracting jobs need. Change any of them, and print or save it when you’re done.

How it works

Getting the billing right on a contracting job

  • Quote the contract: put the estimate or contract number on the invoice.
  • Bill changes separately: each change order gets its own line.
  • Show payments received: list deposits as a minus, so the balance is clear.
  • Bill long jobs in stages: match each invoice to a stage in your contract.

Sales tax on labor and materials differs by state and by the kind of job, so check yours. Lien rights also have their own deadlines and notices. They’re worth asking an attorney about before a large job.

Common questions

What should a contractor include on an invoice?
Your business name and license number, the customer, the job address, the contract or estimate number, labor, materials, change orders, payments received, the balance, the due date and how to pay.
How do I invoice for a deposit?
Send an invoice for the deposit, then show it as a minus line on your final invoice so the customer pays only the balance.
Should I list labor and materials separately?
Many customers like to see them apart, and your state’s tax rules may treat them differently. If your contract is a flat price, one line can be enough.
What are progress payments?
Payments at stages of a job, such as after framing or at rough-in. Agree on the stages in your contract, and bill each one when it’s done.
Is this template free?
Yes. No sign-up and no watermark. It runs in your browser, so nothing you type is stored or sent to us. Print it or save it as a PDF before you close the page.
