How it works

  1. Fill in your business details, the customer and the job address.
  2. Give it a work order number (keep them in order) and the date it’s scheduled for.
  3. List the parts and labor you expect, with prices if you’ve quoted them.
  4. Write what needs doing in the notes, then choose “Print or save as PDF”.
  5. Get the customer’s signature before you start and again if the job changes.

Nothing is saved or sent anywhere. When the job’s done, turn the same lines into an invoice. Quoting first? Use the estimate template.

  • What needs doing, in plain words a tech can follow
  • Parts and labor, line by line
  • The customer’s approval and the date

Common questions

What is a work order?
A work order is the written instruction for a job: who it’s for, where it is, what needs doing, the parts and labor, when it’s scheduled and who approved it. The tech takes it to the job and it becomes the record of what was agreed.
What’s the difference between a work order, an estimate and an invoice?
An estimate says what a job should cost before the customer says yes. A work order says what to do once they have. An invoice asks for payment after it’s done.
Does a work order need a signature?
It’s a good idea. A signature shows the customer approved the work and the price, which helps if there’s a disagreement later. Get a new signature if the job changes. This isn’t legal advice.
How should I number work orders?
Any system works as long as each number is used once and they go in order, like 1001, 1002, 1003. Put the same number on the invoice so you can match them up later.
Is this work order template free?
Yes. No sign-up, no watermark and nothing stored.
Can I use it on my phone?
Yes. Fill it in on your phone, then save the PDF and text it to your tech or the customer.
