Rent receipt template: fill in and print

The short answer

A rent receipt records the tenant’s name, the property, the period covered, the amount and how it was paid, signed by the landlord or manager. Fill in the form, add any late fee or deposit as its own line, and print it or save the PDF. Some places require a receipt, especially for cash, so check your local rules.

How it works

What to put on a rent receipt

  • Receipt number and the date you were paid
  • The tenant’s name
  • The property address and unit
  • The period the rent covers
  • The amount, and any balance still owed
  • How it was paid
  • Your signature

Partial payment? Write the amount received and the balance left. Rules on partial rent, late fees and receipts differ by state and city, so check yours. This isn’t legal advice.

Common questions

What should a rent receipt include?
The date, the tenant’s name, the property, the rent period, the amount, how it was paid and the signature of whoever received it.
Do landlords have to give rent receipts?
It depends on where you are. Some states and cities require them, especially for cash. Check your local rules, and give one regardless: it protects you both.
Can I use this for a security deposit?
Yes. Change the line to “Security deposit for (address)”. Keep deposits separate on your books, because many states have rules about holding them.
Can I send a rent receipt by email?
Save it as a PDF and send it. Keep a copy for your records.
