Free receipt maker: fill in, print or save as a PDF

The short answer

A receipt shows who paid, how much, for what and when. Fill in your business, the customer, each item and how they paid, and the total adds up as you go. Print it or save it as a PDF. It’s free with no sign-up or watermark, and it’s only for payments you actually received. Give a copy to the customer and keep one for your records.

For a cash sale, a deposit or a job paid on the spot. Fill it in, then print it or save the PDF to text or email.

How it works

What to put on a receipt

  • The word “Receipt”, a number and the date
  • Your business name and contact details
  • Who paid you
  • What they paid for, with amounts and any sales tax
  • The total paid and how: cash, check number or the last four digits of a card
  • A signature, if you’re taking cash

Receipt or invoice?

An invoice asks for money. A receipt says you’ve got it. Sending a bill first? Use the invoice template, then this once they’ve paid.

Never write down a full card number. The last four digits are enough. A receipt must describe a real payment, and making one for a sale that didn’t happen can be fraud.

Common questions

What should a receipt include?
Your business name, the date, a receipt number, who paid, what it was for, the amount, any tax and how they paid.
How do I make a receipt for a cash payment?
Set “How it was paid” to Cash, fill in the amount and sign it. Give the customer one copy and keep the other.
Are handwritten or homemade receipts valid?
A receipt doesn’t need a special form, as long as it’s accurate and shows who, what, how much and when. Ask your accountant what they need for your records.
Can I number receipts my own way?
Yes. Use each number once and keep them in order, so you can find one later and your books add up.
Is this template free?
Yes. No sign-up and no watermark. It runs in your browser, so nothing you type is stored or sent to us. Print it or save it as a PDF before you close the page.
