How to reply to Google reviews: free templates for bad and good reviews

The short answer

To reply to a Google review, open your Business Profile, find the review and choose Reply. For a bad review, reply within a day or two: thank them, say you’re sorry about their experience, offer to make it right by phone, and don’t argue or share job details. For a good review, thank them by name. Your reply is public.

A calm reply to a bad review can do more for you than the review did against you, because the next customer reads both. Fill in your details and copy a reply that’s ready to post.

Fill in your details

The replies update as you type. Leave a box empty to keep the [placeholder].

As it shows on the review.
Your reply is public. Leave this out if the customer wouldn’t want it mentioned.

How it works

  1. Fill in your business, your name and the number to reach you on. The replies update as you type.
  2. Pick the reply closest to what happened and change it so it sounds like you.
  3. Open your Business Profile on Google, go to your reviews, choose Reply, paste it in and post it.
  4. When a bad review comes in, call the customer if you have their number. The public reply is for everyone else reading.

What not to do

  • Don’t argue, or reply while you’re angry. Wait an hour and read it again.
  • Don’t post job details, addresses, prices or anything private. Your reply is public.
  • Don’t offer money or a discount to change or remove a review. Google’s policies don’t allow paying for reviews.
  • Don’t paste the same reply on every review. Change a detail or two.

More good reviews push a bad one down the list. Ask every customer with these review request texts and a direct review link.

Common questions

How do you respond to a negative Google review?
Reply within a day or two. Thank them for telling you, say you’re sorry about their experience, offer to make it right, and give a number to call. Keep it short, don’t argue, and don’t share details of the job.
Should I reply to every Google review?
Yes, if you can, good and bad. It shows customers someone’s paying attention, and Google’s own advice for improving your local ranking includes replying to reviews.
How quickly should I respond?
Within a day or two is a good habit. Reply to a bad review once you’ve cooled off and looked up the job, not in the heat of the moment.
Can I get a bad Google review removed?
Only if it breaks Google’s rules, such as a fake review, spam or a conflict of interest. Report it from your Business Profile. Google doesn’t take a review down just because it’s negative or you disagree with it.
What if the review is fake?
Check your records first. Report it to Google from your Business Profile, and post a short reply saying you can’t find the job and asking them to call you. Stay polite, because customers will read it.
Can I ask a customer to change a bad review?
Once you’ve fixed the problem, you can let them know you’d welcome an update if they feel differently. Ask once, and never offer money or a discount for it.
Can I edit my reply later?
Yes. You can edit or delete your reply from your Business Profile at any time.
