Free gift certificate template for your business

The short answer

A business gift certificate should show your business name and contact details, the amount or service, who it’s to and from, a unique certificate number, and any terms. Keep a list of numbers so each is only used once. Fill in the free template below, then print it or save it as a PDF to hand over or email.

How it works

  1. Fill in your business name and how to reach you.
  2. Enter a dollar amount or a service, and who it’s to and from.
  3. Give it a number, and keep a list so each one is used once.
  4. Choose “Print or save as PDF”, then hand it over or email it.

Before you set an expiry date

US federal law generally requires gift certificates to last at least five years from when they’re sold, and some states go further or ban expiry dates altogether. Promotional certificates you give away can be treated differently. Check your state’s rules, or leave the date off. This isn’t legal advice. Source: 12 CFR 1005.20.

Common questions

What should a gift certificate include?
Your business name and contact details, the amount or service, who it’s to and from, a unique number, and any terms such as whether it can be exchanged for cash.
Do gift certificates expire?
They can, but US federal law generally requires at least five years from the sale date, and some states don’t allow expiry at all. Check your state’s rules.
How do I keep track of gift certificates?
Keep a simple list: the number, amount, date sold and date used. Mark each one as used when it comes back, so it can’t be used twice.
How should I account for gift certificates?
Many businesses record the sale as money owed until the certificate is used. Ask your accountant how to handle it in your books.
Is there a gift certificate template in Word or Google Docs?
Both have templates you can search for and fill in. This one is quicker if you just need your details on a plain certificate: fill it in here, then print it or save it as a PDF.
How do I make a homemade gift certificate?
Write your business name, the amount or service, who it’s to and from, a certificate number and any terms, then print it on card stock. Keep a list of the numbers so each is only used once.
Can I add my logo?
Not in this template. It prints your business name at the top in bold, and you can print on your own letterhead or card stock.
Is this gift certificate template free?
Yes. No sign-up, no watermark and nothing stored.
