The short answer

An auto repair invoice lists the vehicle’s year, make, model, VIN and mileage, what the customer reported, what you found and did, parts with prices, labor and the total. Many states have their own rules for repair shops, including written estimates and returning old parts, so check yours. Fill in the lines below, and print it or save the PDF.

Has places for the vehicle, the complaint and the repair, so the record is there when the car comes back.

How it works

What to record

  • The vehicle: year, make, model, VIN and mileage in
  • The complaint, in the customer’s words
  • The finding and repair
  • Parts: new, used or rebuilt, with prices
  • Warranty: what’s covered, and for how long

Some states require a written estimate and a customer’s approval before repairs, along with specific wording on invoices. Check your state’s rules. For the estimate, use the auto repair estimate template.

Common questions

What should an auto repair invoice include?
Your shop’s details, the customer, the vehicle with VIN and mileage, the complaint, the repair, parts, labor, any supplies, the total and how to pay. Your state may require more.
Do I have to show parts and labor separately?
Many states require it or customers expect it. Showing them apart is the safer habit.
Can I charge shop supplies?
Many shops do. Show it as a line, say what it covers, and check your state’s rules.
Do I have to give back old parts?
Some states require you to offer them. Check your state’s repair rules.
Is this template free?
Yes. No sign-up and no watermark. It runs in your browser, so nothing you type is stored or sent to us. Print it or save it as a PDF before you close the page.
