Missed call text back: how it works and when it’s enough

The short answer

Missed call text back sends a text from your business to anyone whose call you don’t answer, within seconds, so they can reply with what they need instead of calling the next company. It runs through your phone provider or a texting service; in the US the business number has to be registered for texting (10DLC), and the text should be one helpful reply, not marketing.

When you can’t pick up, the caller gets a text from your business right away, so they reply to you instead of calling the next company. Here’s how it works, what it takes to set up, and when it’s enough.

How it works

  1. A customer calls your business number and you don’t pick up.
  2. Within seconds, they get a text from your business: you’re on a job, what can you help with?
  3. They reply with their address and what’s wrong, and you see it on your phone.
  4. You text or call back when you can, with the details already in hand.

Many callers who won’t leave a voicemail will answer a text, because it’s easier and they can do it while they keep looking.

The rules for texting customers

  • In the US, business texting from a regular phone number has to be registered with the phone companies (called 10DLC registration). A good provider handles it for you.
  • Send one helpful text in reply to the call, not a sales message.
  • Honor STOP: if someone replies STOP, don’t text them again.
  • Don’t add a caller to a marketing list just because they called. That needs their permission.

Example messages

Keep it short, sound like you, and ask for what you need to call back. Our voicemail greeting generator writes a missed-call text and an after-hours text with your business name and hours.

On-call cell phoneYou, when you can pick up.Whoever carries the phone.Straight to you, if you answer.Your time and sleep.
Missed-call text backA text from your business right after the missed call. They can reply with what they need.Texts any time; you reply when you can.Depends on the service; some ring you for emergency words.A monthly fee. CoveDesk Text-Back: $99/mo.
Live answering serviceA person picks up, takes the details and sends them to you. Most cover 24/7.Put through or sent to whoever is on call.Usually the highest per minute. See published prices below.

A text back is a good fit if you answer most calls yourself and miss a handful a day. If you get urgent calls at night, or miss more calls than you can return, an answering service that picks up and puts emergencies through is the next step.

Common questions

What to text back after a missed call?
One short, friendly text from your business: who you are, that you missed the call, and what to send you. For example: “Hi, this is Pat’s Well & Pump. Sorry we missed your call, we’re on a job. What can we help with? Reply with your address and what’s going on.”
Why do I get a text when I miss a call with a business?
Because the business uses missed call text back: when no one could pick up, its phone service texts you right away so you can reply with what you need instead of calling again. Reply STOP if you don’t want texts.
Which number does the text come from?
It depends on the provider and on how your calls reach them. With CoveDesk, the text is from your business, in your business’s name, and replies come back to you. Ask any provider which number the text is sent from and whether customers can call it back.
Do I need permission to text someone who called me?
One text replying to their call, about their call, is generally treated differently from marketing. Keep it to that, honor STOP, and get permission before adding anyone to promotions. This isn’t legal advice; ask your provider how they handle consent.
What does missed call text back cost?
It’s often part of a phone or marketing software subscription. CoveDesk’s Text-Back plan price is on our pricing page and above.
